Credit Management

Review and manage organization credits and usage.

1. What you can do

The Credits page has two tabs:
  • Organization credits: View the organization's actual credit balance, plans, and resource packages.
  • Member allowances: Set organization or member usage limits and review member usage.
An actual credit balance and a usage allowance are different:
TermMeaning
Available creditsCredits the organization can actually spend and that members share
Frozen creditsCredits that are reserved or temporarily unavailable
Usage allowanceA monthly limit set by an admin; it is not the organization's actual wallet balance
Increasing a member allowance does not add credits to the organization. If the balance is low, a super admin must purchase a credit pack under Subscription.

2. View organization credits

  1. Open Credits.
  2. Select Organization credits.
  3. Review the following at the top of the page:
    • available credits;
    • frozen credits; and
    • active resource packages.
If the balance fails to load, select Retry. Do not treat frozen credits as credits that have already been consumed.

3. View current plans

Under Organization credits > Current plans, each active plan shows:
  • plan name and status;
  • effective and expiration dates;
  • seat count;
  • allowance per cycle;
  • cycle type and total cycles; and
  • an internal remark.
Select the remark area to add context such as the purchasing batch, owner, or renewal reminder. Do not store card details, passwords, or secrets in remarks.

4. View plan history

  1. Select Plan history.
  2. Review ended plans and plans with other historical statuses.
  3. Use pagination to find older records.
  4. Update remarks when needed.
Historical plans are for reference and do not change the current organization balance.

5. View resource package details

  1. Select Resource package details.
  2. Filter by All, Active, or Expired.
  3. Review each package's source, initial capacity, current balance, frozen amount, and validity period.
  4. Use pagination to view more packages.
When investigating a balance change, check both the package expiration date and remaining balance. Expired packages no longer provide usable credits.

6. View organization or team allowances

Open Member allowances:
  • An organization super admin sees the Organization allowance and can change it.
  • A team admin sees the current Team allowance, which is the upper limit for member allowances.
The organization allowance refreshes monthly. It cannot be set below an existing member allowance. If the page reports a conflict, lower the relevant member allowances first.

Change the organization allowance

  1. Select Edit allowance on the Organization allowance card.
  2. Enter a new whole-number amount. The minimum is 2,000 credits.
  3. Verify the current and new allowance.
  4. Select Confirm.

7. Review member usage

The member list shows:
  • member name, contact information, and status;
  • used credits;
  • member allowance;
  • usage rate; and
  • tags and remarks.
You can:
  • search by member name or contact information;
  • sort by usage rate, used credits, or allowance in ascending or descending order;
  • filter by member tags; and
  • use pagination to view more members.
Members approaching or exceeding 80% usage should be reviewed first.

8. Change one member's allowance

  1. Find the member.
  2. Select Edit member allowance.
  3. Enter a new whole-number amount. The minimum is 2,000 credits.
  4. Confirm that it does not exceed the organization or team maximum shown on the page.
  5. Select Confirm.
Allowance editing is unavailable for a removed member.

9. Set allowances in bulk

  1. Select Batch select.
  2. Select members, or select all results in the current search scope.
  3. Select Set allowances in bulk.
  4. In the preview, review the number of members to be updated and skipped.
  5. Enter the shared new allowance.
  6. Confirm that it is at least 2,000 and does not exceed the parent allowance.
  7. Select Confirm.
The system skips members that are no longer eligible and reports the actual processed count when the action finishes.

10. Manage tags and remarks

Tags

  • Select the tag area in a member row to add or remove tags.
  • In batch mode, select Batch tags to update explicitly selected members.
  • Batch tag editing is unavailable when all search results are selected. Select the target members individually instead.

Remarks

Select a member's remark area to add internal context. Remarks do not change credits or permissions.

11. Troubleshooting

A member still cannot use a feature even though their allowance is not exhausted

Check whether:
  • the organization's available credits are exhausted;
  • the member still has a valid seat; and
  • the current resource package has expired.

A member allowance cannot be increased further

A member allowance cannot exceed the organization or team allowance. Ask an authorized admin to increase the parent allowance first.

The organization allowance cannot be reduced

The new organization allowance cannot be lower than an existing member allowance. Lower high member allowances first.

Does changing an allowance purchase more credits?

No. An allowance is only a usage limit. Purchase credits under Subscription.
