Member Management

Add, remove, and manage organization members.

1. What you can do

On the Members page, you can:
  • view member count and seat usage;
  • invite members to the organization;
  • change member names, roles, and seat status;
  • maintain member tags, remarks, and storage usage information;
  • review organization join requests and seat requests;
  • view, resend, or revoke pending invitations; and
  • create and deactivate invitation links.
The tabs shown on the page depend on the organization type and whether it is connected to a corporate directory.

2. Members and seats

  • A member is a user who has joined the organization.
  • A seat is an organization entitlement assigned by an admin. A member with a seat can use organization credits.
  • A member without a seat remains in the organization but cannot use features that consume organization credits. They can request a seat.
The top of the page shows used/total seats and the current member count. Before assigning a seat, confirm that one is available.

3. Find and review members

  1. Open the Members tab.
  2. Select the search button and enter a name, email address, or other contact information.
  3. To filter by tags, open the filter in the Tags column and choose the matching mode.
  4. Review each member's role, status, storage usage, tags, and remarks.
  5. Use pagination to view more members.
Some enterprise members may also show a Provider ID, which identifies an external identity source.

4. Invite members

Select Invite member in the upper-right corner. Qwen Work offers different invitation methods based on the organization configuration.

Single email invitation

  1. Select Single email invitation.
  2. Enter the member's email address. First and last name are optional.
  3. Choose a role: super admin, team admin, or member. Available choices depend on your own role.
  4. Confirm the target team.
  5. Review the invitation summary and select Send invitation.
The global edition does not require a mainland China phone number when inviting a super admin. This method is available only to enterprise organizations that are not connected to a DingTalk directory.
  1. Select Bulk invitation link.
  2. Enter the maximum number of people who can join with the link. It cannot exceed the organization's available member capacity.
  3. Optionally enter a name, such as “September new hires.”
  4. Select Create link.
  5. Copy and share the link with the intended members.
After a person verifies their identity through the link, the request appears under Pending approvals. Once approved, the person joins the organization without a seat.

Corporate directory invitation

If the organization is connected to a DingTalk directory, selecting Invite member opens the directory picker:
  1. Select members from the corporate directory. You can select up to 100 people at a time.
  2. Review the selected list.
  3. Assign a role to each member.
  4. Submit the invitation.

5. Manage pending invitations

Open Pending invitations to view invitations that have not yet been accepted.
  • Use search to find an invitee.
  • Select Resend to send the invitation email again.
  • Select Revoke to invalidate the invitation.
  • Review the invitation time, expiration, role, and remark.
If the email address is incorrect, revoke the invitation and create a new one rather than repeatedly resending it.

6. Review organization join requests

Pending approvals is available to enterprise organizations and contains requests created through invitation links.

Review one request

  1. Verify the applicant's name, email address, target team, and invitation link.
  2. Select Approve or Reject.
  3. An approved applicant becomes an organization member without a seat.

Review requests in bulk

  1. Select Batch select.
  2. Select requests, or select all results in the current scope.
  3. Select Approve or Reject.
  4. In the confirmation dialog, review the actual number of requests and any skipped items.
  5. Confirm the action.

7. Review seat requests

Members without seats can request one. Process these requests under Seat requests:
  1. Review the member, team, request time, and remark.
  2. Select Assign seat to approve, or select Reject.
  3. Use Batch select to process multiple requests together.
Before approval, confirm that a seat is available. If not, ask a super admin to purchase or add seats under Subscription.

8. Edit a member

  1. Find the member in the list.
  2. Select Edit.
  3. Change the first name, last name, or role as allowed.
  4. Select Save changes.
Roles follow this hierarchy:
Super admin > Team admin > Member
Admins can edit themselves, but cannot manage another admin at the same or a higher level. A team admin cannot change a super admin or another team admin.

9. Assign or reclaim seats

One member

  1. Open the member's edit dialog.
  2. Under Seat, select Assign seat or Reclaim seat.
  3. Wait for the status to update.

Multiple members

  1. Select Batch select in the member list.
  2. Select members, or select all results in the current search scope.
  3. Select Assign seat or Reclaim seats.
  4. In the confirmation dialog, review the actual member count and any skipped members.
  5. Confirm the action.
Reclaiming a seat keeps the person in the organization, but they can no longer use features that consume organization credits.

10. Manage tags and remarks

Tags

  • Select the tag area in a member row to add or remove tags.
  • In batch mode, select Batch tags to update explicitly selected members.
  • Batch tag editing is unavailable when all search results are selected. Select the target members individually instead.

Remarks

Select the remark area to add internal context. Do not store passwords, secrets, or other sensitive information in remarks.

11. Remove a member

  1. Select Remove member from the member list or edit dialog.
  2. Review the confirmation message.
  3. Confirm removal.
The member loses access to organization resources. An admin cannot remove themselves or remove a super admin. Under Invitation links, you can:
  • review total, used, and remaining capacity for active links;
  • select Copy to copy a link again;
  • deactivate a link immediately; and
  • select Show inactive links to view used-up, expired, or deactivated links.
A deactivated link cannot be restored. Create a new link if more invitations are needed.

13. Troubleshooting

The invitation action is unavailable or shows Retry

The page may still be loading the organization invitation configuration, or loading may have failed. Wait for it to finish. If Retry invitation settings appears, select it to reload.

A member joined but cannot use organization credits

Check whether the member has No seat assigned, and assign a seat if needed.

You cannot edit an admin

You can manage only other members below your own role level. Contact an organization super admin to manage an admin at the same or a higher level. Invitation links are available only to enterprise organizations that are not connected to a DingTalk directory. Use the corporate directory invitation flow when a directory is connected.
